The gap between a vague estimate and a firm, reliable price is almost always information. A contractor pricing from a floor plan and a conversation is guessing at quantities; a contractor pricing from full drawings, ground information and access photographs is quoting against something real.
You do not need every item on this list to start a conversation — send what already exists, and this page explains what still helps to gather as the project develops. The more of it that exists before pricing, the fewer assumptions sit inside the quote, and the fewer surprises appear once work is on site.

The full checklist
This is the complete list a contractor would ideally see. Missing items are not a barrier to getting started — they simply mean the early quote will carry more assumptions until they are available.
Information to gather before contacting a contractor
- Full site address and postcode, with a map pin if the location is hard to find
- Photographs of the site itself, from several angles and in different weather if possible
- Photographs of the access route — the actual path a delivery vehicle would take
- Architect's drawings: plans, elevations and sections, to scale
- The planning decision notice, if permission has been granted or refused
- Any planning conditions attached to the decision, particularly pre-commencement conditions
- Building Regulations drawings, where produced separately from the planning set
- Structural engineer's drawings and calculations, including foundation and steel details
- Drainage design — existing and proposed foul and surface water layout
- A topographic survey, showing levels across the site
- Ground investigation results — trial pit logs, borehole data or a geotechnical report
- Utility information — known positions of water, gas, electricity and telecoms services
- A specification or schedule of works, if one has been prepared
- Your desired programme or start date, and any deadline driving it
- Your budget range, even approximate
- Any known constraints — access restrictions, working hours, protected trees, shared driveways
Why each item matters to pricing and build accuracy
Every item on the checklist removes a specific assumption from the quote and, later, from the build itself.

Why each checklist item earns its place
It helps to see the checklist as a set of specific questions a contractor otherwise has to guess the answer to. Working through why each item matters makes it easier to prioritise what to chase first if not everything exists yet.
- Full site address and a map pin — confirms exactly which plot, access route and local conditions apply before any quantities are worked out
- Site photographs from several angles — show existing ground cover, boundary treatments and obstructions that a plan alone will not reveal
- Access route photographs — the single biggest driver of plant choice, delivery method and whether a pump, crane or smaller machine is needed
- Architect's drawings to scale — the only reliable source for actual quantities of concrete, block, steel and drainage rather than a rough allowance
- The planning decision notice — reveals conditions that affect sequencing, materials or what has to be approved before work can start
- Pre-commencement conditions specifically — flag anything that legally has to be discharged before a digger can move, which changes the programme, not just the price
- Building Regulations drawings — where these differ from the planning set, the contractor needs the version that will actually be built and inspected
- Structural engineer's drawings and calculations — fix foundation depth, reinforcement and steel sizes, which are usually the single largest variable in a groundworks price
- Drainage design — confirms pipe runs, invert levels and connection points, so excavation depths and lengths are known rather than assumed
- A topographic survey — sets real levels across the site, so cut-and-fill, retaining walls and drainage falls are calculated, not guessed
- Ground investigation results — inform foundation type and depth, and flag problem ground, contamination or high water tables before they become a mid-job surprise
- Utility information — avoids striking live services during excavation, and flags any diversion costs before they appear as a variation
- A specification or schedule of works — removes ambiguity about exactly what is included, which is where many disputes between client and contractor start
- Your programme or start date — lets the contractor sequence around lead times for materials, subcontractors and any conditions still to be discharged
- Your budget range — lets the contractor advise honestly on what is realistic within it, rather than pricing a scheme that has to be value-engineered later
- Known constraints — access restrictions, working hours, protected trees or shared driveways all change how a job is sequenced and should be priced in from the outset, not discovered on day one
How thin information turns into a rough estimate
Without drawings, a contractor is pricing floor area and rough guesswork against typical build-ups — a reasonable starting point for a conversation, but not a number to plan a budget around. Every missing item forces an assumption: an assumed foundation depth where no ground information exists, an assumed access route where no photographs have been sent, an assumed drainage strategy where none has been designed. Assumptions are not wrong on purpose, but they are a source of later variation whenever reality turns out to differ from the assumption made at pricing stage.
This is why two contractors quoting from the same thin brief can produce very different numbers — not because one is more expensive, but because they made different assumptions to fill the same gaps.
What to do if some of this does not exist yet
It is normal for early-stage projects to be missing most of this list. A site visit and a conversation with SHS usually establishes, in that case, what still needs commissioning and from whom — a topographic survey, a structural engineer, a percolation test, or a drainage designer, depending on the project. Sending what you already have is still worthwhile at that stage: it shapes the conversation and avoids repeating information later.
Sequencing what you commission
Not everything needs commissioning at once, and getting the order right saves money. A topographic survey generally comes first, because levels affect almost every other decision. A structural engineer usually needs that survey, plus architect's drawings, before producing calculations. Drainage design and a percolation test can often run in parallel with structural work. Ground investigation is worth commissioning early on any site where conditions are uncertain, because a redesigned foundation after other work has been done is the most expensive kind of change to make.
