Why preparation changes the price you get
A groundworks price is built from assumptions about access, ground conditions, drainage, and exactly what is and is not included. The fewer of those assumptions that are guesses, the closer the final price stays to the quoted one — and the more genuinely comparable one contractor's price is against another's.
This is not about making the process harder for a client; it is about shifting decisions that will have to be made anyway — depth, drainage route, scope boundary — earlier, where they are cheap to make, rather than later, where they are expensive.
Gather the paperwork
Where a document does not exist yet — an engineer's design, for example — it is worth saying so rather than leaving the gap unexplained; a contractor can then either price against reasonable assumptions or flag that the item needs resolving before an accurate price is possible.
What to have ready before the site visit

This local knowledge — particularly from someone who has lived with the site through different seasons — is often more useful to an accurate quotation than any single document.
Why ground condition assumptions matter
Every groundworks quotation is priced against an assumption about what the ground is actually like, because the exact conditions below the surface are rarely known with certainty until excavation begins. A clear quotation states that assumption plainly — for example, that the price assumes no rock, no significant groundwater and no contamination — so that everyone understands the basis the figure was built on.
Where a ground investigation has already been carried out, sharing it removes a large amount of that uncertainty and generally produces a firmer price with fewer provisional items.
Be clear about scope
State plainly what is being asked to be priced, and what is being handled separately by another trade or contractor. Ambiguous scope produces quotations that cannot be fairly compared, and disputes later about what was supposed to be included.
It helps to be specific about boundaries: does the groundworks price include the drive, or stop at the building? Does it include connecting to the existing drainage, or just laying pipe to the boundary?
Provisional sums and exclusions
Where genuine uncertainty exists — the volume of rock that might be encountered, for example — a contractor may include a provisional sum: a stated allowance that will be adjusted up or down based on what is actually found, rather than a fixed fee for an unknown quantity.
Exclusions matter just as much as inclusions. A quotation should state clearly what it does not cover — a structural engineer's fee, a building control fee, a specific survey — so nothing is assumed to be included by one party and excluded by the other.
What makes two quotations comparable
Comparing the bottom-line figure on two quotations without checking these points is one of the most common ways a client ends up disappointed later, even when both contractors acted in good faith.

Be realistic about timing
State when work is genuinely intended to start and what still needs to happen before then — a pre-commencement condition to discharge, a survey to commission, funding to confirm. What actually happens at the site visit
A groundworks site visit is not a formality — it is usually where most of the assumptions in a quotation get replaced with observations. Expect the visit to cover the access route in as well as the plot itself, existing levels and any visible drainage or ground clues, where materials, spoil and plant could realistically sit, and a check of the drawings against what is actually on the ground.
It helps to be present, or to have someone present, who knows the site's history — previous flooding, buried structures, old drain runs, boundary disputes — since this kind of local knowledge often surfaces useful information that no document records.
Getting more than one quotation
Sending the same information, in the same form, to each contractor being asked to quote is what makes multiple quotations genuinely comparable. Giving one contractor a full set of drawings and another a verbal description produces two prices that cannot be fairly set side by side, however different they end up looking.
It is reasonable to ask each contractor pricing the job to state their ground assumptions and exclusions explicitly, precisely so that the comparison in the table above can actually be made once the quotations arrive.
When does a quotation become a fixed price?
Most groundworks quotations are priced against stated assumptions, and stay provisional in that sense until either those assumptions are confirmed (via a ground investigation, a completed design, or simply the client accepting the assumptions as stated) or the work itself is under way and conditions are confirmed on site.
A contractor who presents an estimate as a completely fixed price with no stated assumptions at all is not being more generous — they are usually pricing in extra contingency to cover the uncertainty, which the client pays for either way, seen or unseen.
